Benchmark International is now looking for an individual to report to the individual serving as the Managing Partner of the Major Transaction Team and General Counsel of Benchmark International (the “GC/MP”) and will assist all other members of the Major Transaction Team (currently 6) and Legal Department (currently 1) (the “MTT/LD” as directed by the GC/MP.

Essential Duties and Responsibilities:

  • Assist GC/MP with a variety of professional and personal tasks.
  • Act as the point of contact between the GC/MP and internal/external clients.
  • Act as the point of contact between the GC/MP and Central organization.
  • Maintain calendar of GC/MP and MTT/LD conference room(s).
  • Clean MTT/LD conference room(s) between meetings.
  • Prepare materials for MTT/LD presentations.
  • Screen and direct phone calls and distribute correspondence for MTT/LD
  • Maintain communication during business hours with GC/MP while he is out of the office.
  • Gain an understanding of clients and their points of contact in MTT portfolio.
  • Gain an understanding of the company’s open litigation matters and points of contact for each.
  • Attend meetings, take detailed notes and deliver a full report for MTT/LD.
  • Handle requests and queries for MTT/LD appropriately.
  • Manage diary and schedule meetings and appointments of GC/MP.
  • Make travel arrangements for MTT/LD.
  • Take dictation and minutes from GC/MD.
  • Procure office supplies for MTT/LD.
  • Produce reports, presentations and briefs for GC/MD.
  • Maintain electronic office filing system for MTT/LD.
  • Monitor professional licenses of the employees of the MTT/LD.
  • Book travel for the MTT/LD.
  • Schedule meetings for the GC/MD.
  • Answer calls and emails for the GC/MD.
  • Proofread and edit written material produced by MTT/LD.
  • Research industries and third-party mergers and acquisitions activity.
  • Plan and coordinate MTT team activities.
  • Maintain receipts for and reconcile receipts to MTT credit card monthly.
  • Ability to fill in for main office receptionist (after being trained on relevant equipment).
  • Attend office in business formal attire Monday through Friday from 8:30 am to 5:30 pm with a one-hour lunch break.
  • Arrange delivery of lunch.
  • Occasionally drive within the Tampa Bay area on assigned tasks.
  • Arrange travel and activities for clients visiting Tampa Bay area and occasionally act as a guide.
  • Other routine and clerical duties necessary to free up GC/MP time.

Qualification/Requirements:

  • Must be able to work in the office 100% of the time as this is not a remote or hybrid position.
  • Strong interpersonal skills.
  • Tech-savvy and experienced with MS Word, Office, Excel, and PowerPoint.
  • Excellent verbal and written communications skills including solid grammar and writing structure.
  • Active listening and good communication skills.
  • Proactive approach to problem-solving.
  • Ability to maintain pleasant and professional disposition and tone in person, on phone, and vie email.
  • Ability to multitask and prioritize daily workload.
  • Strong time-management and organization skills.
  • Proven work experience as a personal assistant for at least 10 years.
  • Knowledge of office management systems and procedures.
  • Outstanding organizational and time management skills.
  • Up to date with the latest office gadgets and applications.
  • Maintenance of a valid driver’s license and auto insurance.
  • Discretion and confidentiality.


Education/Training/Experience:
Bachelor’s degree and ten years’ experience as a personal or executive assistant.

Physical Demands:

  • Moderate physical activity performing somewhat strenuous daily activities of a primarily administrative nature, including sitting and/or standing for extended periods of time with the ability to lift up to 25 lbs. regularly and up to 50 lbs. occasionally. 
  • Ability to drive in a safe manner.
  • Manual dexterity sufficient to reach/handle items, work with the fingers, and perceive attributes of objects and materials.


Travel Demands:
Occasional local travel.

Expected Hours:
Office hours are 8:30am to 5:30pm local time, Monday through Friday, with one hour for lunch and after-hours attendance in the office as needed.

Salary
As a member of the Major Transaction team, you will receive an annual salary of $40,500 - 48,000 paid bi-weekly.
