Portfolio Administrator/Receptionist
Benchmark International is looking for a Portfolio Administrator/Receptionist to add to our growing team. You will be a part of our busy office. The Portfolio Administrator will lead the front of the house, investigate various businesses, and manage a portfolio of clients. The Portfolio Administrator will learn how to investigate and identify transactions that have occurred, work with clients to get back to market, and set or adjust client expectations. In addition, the role is responsible for all front office requirements such as the general appeal of the area, greeting clients, answering and directing in-bound calls and providing general office support.
Job Responsibilities
Your experience throughout the years will be a great resource for the Benchmark team, however you will act under the instruction of and be trained by Benchmark International’s experienced leadership team, with combined experience of over 40 years in the M&A markets.
Your specific duties will include:
- Managing a portfolio of clients that are currently not on market to ensure that Benchmark’s communication standards are met.
- Develop and maintain client relationships by communicating effectively to ensure expectations of sellers that want to go back to market are met.
- Complete third-party research to gather information related to transactions.
- Conduct outreach via phone, email, and letters to sellers and update our system with information gathered from the correspondence.
- Ensure the CRM system is up to date with information about each client.
- Work closely with our deal team to identify strategies for bringing deals back to market or identifying transactions that have taken place.
- Provide consultative guidance on Benchmark’s process and the client’s experience to date.
- Participate in proactive team efforts to achieve departmental and company goals.
- Provide leadership to others through example and sharing of knowledge/skill.
- Comply with all policies, practices and procedures and report all unsafe activities to supervisor.
- Professionally answer and direct calls to appropriate person.
- Greet and direct clients to appropriate board room.
- Keep the reception area and board rooms clean, neat and presentable.
- Provide general office support performing a variety of clerical activities such as photocopying, faxing, mailing, etc.
- Order, receive and stock office supplies.
- Place office maintenance orders as needed.
- Schedule and maintain Board and Conference room calendars.
- Order breakfast/lunch for client meetings as needed.
- Perform other duties as assigned.

You must be a highly energetic, motivated and passionate individual with a ‘can do’ attitude. You must have a strong desire and ambition to succeed in this very rewarding industry. It is also vital for your role that you possess excellent verbal and written communication, analytical, research, and interpersonal skills as well as presentation abilities.
Specific qualifications for the portfolio administrator include:
- Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
- Ability to write business correspondence, take good notes, and hold a meaningful conversation with clients.
- Ability to define problems, collect data, establish facts, and draw valid conclusions.
- Ability to understand our company’s standard agreement and interpret the commercial aspects of the agreement.
- Desire to service an existing client base.
- Proficient personal computer skills include electronic e-mail, database research, etc.
- Ability to handle multiple tasks simultaneously.
- Ability to handle a rigorous schedule of deadlines.
- Desire to find answers to various questions and come to a conclusion while interacting with clients.
- Prioritization and organization skills.
- Commercial understanding and awareness of business and operations in various industries.
- Possess valid driver’s license.
- Must be able to work in the office each and every day as this is not a remote or hybrid position.
- No personal history of enforcement actions by the Securities Exchange Commission, FINRA, or any state securities regulatory bodies.
- Bachelor’s degree with a concentration or advanced degree Finance, Marketing, or Accounting or an unrelated degree with significant work experience in one or more of these fields is preferred.
Salary
This position will receive an annual salary in the range of $40,000 - $45,000 with opportunities for bonuses.
